Pharmaceutical Trak System

Business Challenge
The system could not continue to keep up with the growing sales force and with increased federal regulations in an efficient manner. Because of the age of the system, and the difficulties arising from multiple modifications, the organization sought a new tool to manage and track its critical Starters information. This new tool processes and displays approximately 900,000 records and transactions in a timely manner, working in conjunction with a database of at least 110,000,000. This needed to be completed in six months.

Trifecta's Solution
The organizations custom web application site was developed to meet it's strategic goals in several ways:

  • The sample tracking management system generates specialized reports, provides data entry and editing of transactions, provides a clear data integrity capability, and performs automated daily tasks that integrate with other key business systems.
  • Implementation of IBM’s WebSphere Application Server with Java 2 Enterprise Edition (J2EE), JSPs, and Crystal Reports.
  • Oracle was the database.
  • Tracking and reporting Starters.
  • FDA compliance requirements met on time and on budget.

Impact
The new web application has been a great success. It has turned out to be a measurable time saver for the administrators of the Starters, allowing them to be more efficient in resolving inventory problems.

Trifecta continues to work with organization on subsequent versions of their StarTrak application, periodically adding even more functionality to this custom web solution. Some of the new functionality of the site are:

  • Designed to handle a high volume of transactions (approximately 1 million per week) and yet perform data entry and inquiry in a timely manner.
  • A security component grants access to only those users authorized to use the system. There are read-only, standard, and admin user roles.
  • An Audit subsystem performs Physician and Field audits tracking. It has the ability to randomly generate transactions for inclusion in audits. The audit system ties directly with a third party vendor to import electronic physician surveys that are completed in hardcopy format.
  • Starter Returns are entered and processed by employees in the shipping center. This had previously been a paper process and caused of a backlog of Return transactions that needed to be manually keyed into the StarTrak system by the Starter Administration staff. The new enhancement included data entry warehouse staff, automatic matching of warehouse returns with electronic submission of data, online manual matching and handling of returns by Starter Administrators.
